Job Summary / Basic Function:

Job Summary:The Allied Health and Sciences' Accreditation Administrative Specialist's responsibilities include, but are not limited to, coordinating the accreditation processes required for the department programs, directing the programs' clinical affiliation agreements, organizing the department's application processes, assisting with the course schedule building processes, program recruitment, enrollment, and retention efforts. This position is an integral part of the Allied Health and Sciences Department and reports directly to the Department Chair. This is a non-exempt position.

Duties/Responsibilities:

  • Coordinate programs' accreditation status, including preparing and processing related requests and documents and maintaining the schedule accordingly
  • Coordinate programs' clinical agreements by preparing and processing the agreements
  • Coordinate the department's application processes including reviewing all program student applicants and verifying applicant credentials and transcripts.
  • Organize the department's program application committees.
  • Maintain the department's academic records.
  • Attend required training sessions.
  • Coordinate department's course schedule building by working with departmental program directors in developing academic course scheduling documents and editing, proofing, and correcting them accordingly
  • Ensure the data input of course schedules into Banner
  • Advise students using approved course pathways.
  • Execute recruitment measures, via phone, face-to-face, and virtual meetings, ensuring that program leadership is participating, to aid in recruiting students.
  • Provide a high-touch experience with students, while encouraging the pursuit of their educational goals
  • Serve as a program subject-matter expert and point of contact for the new program and modified curriculum implementation.
  • Provide program information to students, faculty, staff, industry partners, and community members.
  • Advise and register students regarding program planning, course selection, schedule changes, and transferability.
  • Serve as a liaison for Program Directors and Lead Faculty, handling questions, and issues and providing detailed information on requirements, processes, and policies.
  • Perform departmental Administrative Associate Sr. functions when needed, including but not limited to the following tasks:
    • Maintain all inventory and budget for office
    • Make and maintain all requisitions and purchase orders for the fiscal year
    • Prepare all department F3.2s
    • Clerical support: File, fax, scan documents, answer phone, retrieve and respond to messages.
  • Create documents and spreadsheets including but not limited to validating and posting classroom schedules, filing, scanning documents, and overseeing incoming mail processing.
  • Validate and post full-time faculty's and adjunct faculty's current schedules and licenses.
  • Perform other related duties as required


Physical Requirements:This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; constantly operate a computer or other office equipment, such as a printer or copy machine.Minimum Qualifications:

Minimum Qualifications:

  • Three (3) years of experience in an office environment and/or additional courses in office administration, business skills, and/or computer software
  • Advanced skill in the use of Windows, MS Office Professional including Outlook, Word, and Excel
  • Experience organizing and maintaining records and files
  • Excellent customer service and telephone skills
  • Must be detail-oriented
  • Capable of managing self and tasks, including those requiring others' involvement, to ensure deadline compliance
  • Strong writing, proofing, and editing skills
  • Strong math skills
  • Skilled in the operation of business machines such as scanner/copier/etc.
Preferred Qualifications:

  • Certificate or Associate Degree in Allied Health or related field
  • Experience working at a higher education institution
  • Experience in the use of college computer systems (i.e., Banner, Argos) and other software
  • Microsoft Office Certification in Word or Excel
  • Supervisory work experience
  • Higher education work experience
Salary:

32,000.00

Work Hours:

Department office hours are 8am-5pm Monday through Friday during the fall and spring semesters. Summer hours are 7:30am-5:30pm Monday through Thursday and 8am-12pm Fridays.
