Position/Title: ADMINISTRATIVE ASSISTANT

Location: Early, Texas

Salary: $45,000 or commensurate with experience and qualifications

Job Purpose and Scope:

Serves as support for the Senior Executive Assistant/HR Manager. Duties are varied in nature. Works under moderate supervision. This is a full-time, in office position located in Early, Texas.

Essential Functions:

  • Assists the Sr. Executive Assistant/HR Manager in providing general administrative support to a department or group of professionals.
  • Performs general office duties including sending, receiving and distributing mail and email, organizing and maintaining files and records, organizing and maintaining inventories of supplies and other materials, and coordinating general office maintenance.
  • Assists with planning and organizing various meetings, events and any other special projects as required. This may include extensive research of venues, activities, and related costs. May prepare manuals and materials for training classes and conferences.
  • Assists with scheduling appointments, arranging catering, registering staff for conferences, and/or making travel arrangements for designated personnel.
  • Performs data entry and maintains databases, works with spreadsheets, may reconcile and balance accounts for accounts payable vendors and general ledger. These duties require thoroughness, accuracy and attention to detail.
  • Composes moderately complex correspondence and reports; fills out and processes forms, such as expense reports, relating to department or association activities.
  • May assist with management of association owned vehicles, insurance claims, reconciling reports, and routine maintenance of vehicles.
  • Responsible for preparation, set up and cleanup of board room and other meeting/event spaces for meetings, trainings, and events.
  • Updates and maintains files; acquires proficiency in filing and retrieving documents electronically; sorts, codes, and files materials; maintains established files and records in accordance with internal policies and procedures.
Desired/Required Education and Experience Requirements:
  • High school graduate or equivalent with 3-5 years of experience in providing administrative support in an office environment.
  • Highly organized with the ability to simultaneously work on multiple projects/assignments with attention to detail and accuracy. Must be able to prioritize and follow instructions precisely.
  • Patient, calm demeanor, with flexibility to adapt to and resolve issues.
  • Strong work ethic, takes initiative, anticipates, is proactive and self-motivated.
  • Must have excellent written and verbal communication skills, with a friendly personality, positive attitude, and ability to maintain confidentiality.
  • Must be dependable. Regular attendance is required.
  • Basic skill level in Microsoft Office applications and general knowledge of office equipment.
  • Basic understanding of accounting principles.
