The Office of Economic Assistance and the Department of Health and Human Services (DHHS) is seeking an enthusiastic Administrative Technician for a vital role in supporting the Special Investigation Unit and the Accounting and Finance Manager to promote the efficient operation of the DHHS.
This position will offer a unique opportunity to learn a variety of DHHS functions and programs.
Key Responsibilities:
Investigation Referrals: Accept referrals from the public or internal partners for potential fraud. Referrals are accepted via phone, e-mail, and other sources. Utilize customer service skills to obtain vital information for the investigation process. Enter referrals and assign cases in the Fraud referral database.
Fleet Management: Maintains fleet of vehicles used by investigations team according to Department processes and procedures. Communicates maintenance needs and coordinates approvals for repairs.
Data Management: Assists Investigations unit supervisor and Accounting and Finance Manager with collection of records for State and Federal reviews, audits, and information requests. Compile and maintain status reports. Utilizes available systems to generate reports and evaluate data.
Administrative Duties: Creates and updates operational and training manuals for job duties with the Investigations unit and the Accounting and Finance Manager. Plans organizes, and implements work assignments, as directed, in various administrative service areas to meet goals and objectives. Create and process standard letters and mail. Assists investigations with correspondence and requests for information.
Continuous Improvement: Gives feedback on work processes/methods and participates in process improvement projects.
Wage: 17.498
Hours: Monday - Friday 8-5
Dress Attire: Business Casual
Requirements / Qualifications:
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
Preferred Qualifications: Experience with NFocus Eligibility system, Experience with EBT card vendor system(s) and reports
Other: Some positions may require experience and/or training that is unique to the work assigned; a valid driver's license or the ability to provide independent authorized transportation; and/or criminal history background checks and other specific background check protocols for their agency.
KNOWLEDGE/SKILLS/ABILITIES
Knowledge of: administrative and office processes and procedures and associated computer applications such as word processing, file management, record keeping, and database management; customer service processes and principles; specialized processes and terminology associated with assigned work.
Skill in: active listening; asking questions; understanding instructions; using word processing; creating spreadsheets, charts, graphs, and reports; managing time, schedules, and priorities; monitoring and assessing program performance; applying critical thinking techniques.
Ability to: formulate and recommend alternative courses of action; communicate and exchange information and ideas with others; interpret and apply policies, procedures, and regulations; track and monitor information; retrieve information from a variety of sources; maintain confidential records.
