The Siebel School of Computing and Data Science in The Grainger College of Engineering seeks applicants for an Assistant Director of Infrastructure and Facility Operations. This position is responsible for prioritizing customer service and relationship management, direct the Siebel School of Computing and Data Science facility operations within the Thomas M. Siebel Center for Computer Science, other current and future CS space in Urbana, and remote space in Chicago, including overseeing facilities construction and remodeling projects, capital equipment inventory, space management, shipping and receiving operations, event support, and other facility-related building operations.

Duties and Responsibilities:

Facilities Management:

  • Coordinate and serve as the point of contact for all members of the school (faculty, staff, and students) and campus community, including Facilities and Services (F&S), outside contractors, and The Grainger College of Engineering, on all building maintenance projects. Oversee regular maintenance, custodial services, grounds, and other related activities for all school spaces in Urbana.
  • Serve as a key member of the school's strategic planning team related to facilities. Participate in budget conversations with respect to the facility operation. Play a leading role in the recommendation and planning for the repurposing and remodeling of existing spaces, including administrative, educational, and research. Participate in the planning of new space or buildings associated with the school.
  • Coordinate and oversee facility improvements, remodeling and relocation of offices, labs, student areas, pieces of equipment, and furniture. Oversee the purchase of equipment, supplies, and services related to the planning of new spaces, ensuring compliance with all purchasing and other university and/or school policies and procedures. Verify all facilities projects are satisfactory and complete, completed on schedule, and within budgetary limits.
  • Oversee the proper support for special events. Work with the school's events coordinator and other stakeholders to determine how to support their specific needs, such as configuration of tables, chairs, podiums, etc. and any special needs.
  • Work with school leadership to plan and schedule maintenance activities. Identify and initiate unscheduled maintenance activities. Schedule and direct maintenance and repair as needed.
Administrative Duties
  • Provide outstanding customer service to all school constituents as required including staff, students, faculty, and public. Inform building occupants of facilities conditions and projects that affect the work being done in the building (elevator outages, HVAC issues, for example) and work with them to plan for the success of ongoing activities during disruptions. Coordinate space utilization for the school at various on- and off-campus locations.
  • Supervise facilities and inventory/receiving staff. Oversee onboarding, distribution of workloads, leave reporting, provide mentoring, complete annual evaluations, provide feedback as needed, and monitor progress toward individual and school goals. Make recommendations to school leadership in terms of staffing levels within the facilities and inventory/receiving groups.
  • Chair school's Building Safety Committee and represent the school in college and campus safety and compliance meetings. Ensure compliance with safety codes, ADA requirements, and other policies, procedures, regulations, statutes, and/or laws relating to the operation of a large public facility. Plan, schedule, and oversee relevant training for staff, faculty, and students such as safe lab management, emergency response training, and similar trainings.
  • Independently prepare and maintain reports on the school's facilities, including the biannual facility use report, Building Emergency Action Plans, and other related documents.
Access Control and Infrastructure Support
  • Liaise with various campus bodies related to access control such as F&S, Technology Services, Engineering IT, and Campus Safety.
  • Manage access to all areas of the school. In conjunction with school administrators, oversee access control for all school spaces, supervising the electronic lock system, access requests from constituents, exterior door schedules, etc. Oversee distribution of keys, manage key database, and maintain reasonable security protocols.
  • Oversee distribution and change orders of various infrastructure devices such as desk phones and office furniture. Serve as the pinnacle point person (or supervisor of this role) for telecom requests working closely with unit security contacts.
Inventory/Shipping/Receiving
  • Oversee the inventory process for capital equipment for the school, including affixing proper inventory tags, and recommending adequate security measures.
  • Oversee school's biannual inventory reporting requirement and other inventory records as required.
  • Oversee disposition of surplus and obsolete items.
  • Oversee the distribution of campus and U.S. mail; providing any additional information/materials as required.
  • Oversee shipping and receiving activities for the school.
Perform additional appropriate duties to further the mission of the department.

Minimum Qualifications:
  1. High School Diploma or equivalent.
  2. Any one or combination totaling three (3) years (36 months) from the categories below:

A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
  • 6 0 semester hours or an associate degree equals one (1) year (12 months) training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.
B. work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

C. One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

Preferred Qualifications:
  • Master's degree in business management, supply chain operations, or a related field.
  • Facilities management experience in a higher education environment.
Knowledge, Skills, and Abilities:
  • T horough knowledge of the University of Illinois' facilities related policies, procedures, and administrative levels.
  • Knowledge of University inventory and auditing procedures.
  • Excellent interpersonal and customer service skills.
  • Ability for, and inclination towards, decision-making.
  • Effective verbal and written communication skills.
  • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems and provide solutions.
  • Ability to organize and supervise the work of others.
  • The incumbent should possess cultural awareness, sensitivity, and tact.
APPOINTMENT INFORMATION

This is a full-time Civil Service Facility Operations Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for the position is $70,000 to $90,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. Employees hired into this position will be expected to work onsite on a full-time basis. Work authorization is not available for this position.
