Under general direction of the Director of Outreach & Recruitment, the Outreach Program Coordinator performs work using knowledge and experience specific to Highline College and recruitment. This position specializes in high school and community relationships on and off campus, promoting the college, and responding to questions regarding all educational programs and services offered at the College. Requiring extensive involvement with students, staff, the public and/or agencies, the Program Coordinator implements and evaluates activities to determine consistency with Outreach program goals.

The position is highly collaborative, and works closely with internal partners, faculty and staff, community members, students, alumni and relevant stakeholders.

This is a full-time, classified position, which is eligible for overtime. This position has an alternate work schedule, working Monday through Friday 8am - 5pm, and occasional evenings and weekends. The College has a summer work schedule (four 10-hour days, Monday through Thursday, typically starting in mid-June).

Salary Information: The salary range stated above reflects the starting step of Range 40 (Step C) and ending step (Step M) salary for this classified position. Based on salary placement of Step C, it will take 5 years to reach Step L on the salary schedule, and 11 years to reach Step M. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.

Essential Tasks

Reporting to the Director of Outreach & Recruitment, this postilion will:
Responsibilities:
Administrative duties:;

  • Maintain and develop an effective Outreach & Recruitment (O&R) calendar system;
  • Manage O&R email and correspondence to ensure timely and effective communication;
  • Coordinate the scheduling of O&R tours services, programs, tabling events, and presentations for internal and external partners;
  • Perform complex scheduling including independently prioritizing the needs of the program
  • Manage O&R tracking sheets of events that are shared with the institution;
  • Collect and manage data from O&R projects to support analysis and reporting efforts;
  • Oversee purchase orders for O&R, ensuring timely processing and compliance with budgetary guidelines (p-card purchases, requisition forms, etc.);
  • Complete prior approval forms and manage backend paperwork necessary for project logistics to ensure smooth execution.
Programming:
  • Collaborate with O&R advisors on projects such as tours, programs, and Thunder (interest) packets;
  • Support the Tours Program by leading tours for prospective students and assisting student workers involved in the program;
  • Collaborate and create partnerships across campus with different organizations to support; incoming and current students;
  • Participate in high school and community visitations as needed to prompt and recruit for Highline College;
  • Assist O&R in collaborating and developing programs aimed at increasing enrollment at Highline College, with a particular focus on underrepresented populations.
Communication & Collaboration:
  • Coordinate and develop content for Outreach Services newsletter;
  • Demonstrate cross-cultural communication skills.
  • Promote Highline College, Outreach Services and the HC Ambassador program on campus and with outside organizations;
  • Confer with other campus departments regarding programs offered
  • Update and manage external partners list for O&R
  • Oversee front desk operations and manage the information center to assist prospective and current students
  • Provide information and advice to prospective students, community partners, students, staff, and/or the public regarding program content, policies and activities, and recommend alternative courses of action;
Ability to:
  • Communicate effectively (verbal and written);
  • Use Microsoft Outlook, graphics, statistical spreadsheet and/or database software;
  • Work some weekends.
Qualifications

Minimum:

  • High School completion or equivalent; AND
  • Two years of full-time administrative experience with an emphasis on program coordination, data management and customer service.
Desired:
  • Associates degree;
  • Ability to communicate effectively in Spanish (verbal and written).
  • Experience working in a higher education environment;
  • Familiarity with community college enrollment services.
