Role Description

The Project Support Specialist is involved in all phases of capital project controls. The position involves seeking estimates and quotes, inputting new vendors in SAP, creating, and tracking purchase requisitions, expediting and tracking equipment orders, tracking project costs, reconciling invoicing, and closing out projects. The job will also involve project cost forecasting and capital planning.

The Project Support Specialist interacts with capital project managers daily. They will seek inputs from reliability and maintenance engineers, maintenance craftsmen, Supply chain team and site leadership to maintaining the capital program.

PRIMARY DUTIES:

  • Procurement
    • Create purchase requisitions and orders in Ariba
    • Set up and track bid exceptions
    • Obtain estimates/quotes from vendors
    • Process change orders
    • Confirm PO's have been received with Vendors
  • Invoicing
    • Tracking, reconciling, troubleshooting, and expediting invoices
    • Invoice issues resolution with vendors
    • Verification and approval
  • Finance functions
    • Capital Database (CDB) updates
    • Funding transfer requests
    • Asset depreciation/forecasting / tracking
    • Notice of Equipment Movement (NOEM) form submission
    • Project closure activities
  • Cost reports
    • Utilize SAP to create new and update existing project cost summary reports (CJI3)

EDUCATION AND EXPERIENCE REQUIREMENTS
  • BA/BS with 2-4 years of experience or high school diploma or equivalent with a minimum of 8 years relevant experience.
  • Must have strong technical/analytical skills and possess a high degree of personal motivation.
  • Excellent interpersonal skills and ability to interact across divisional boundaries.
  • Strong technical experience specific to role

TECHNICAL SKILLS REQUIREMENTS
  • Must have strong technical/analytical skills and possess a high degree of personal motivation.
  • Experience using SAP, Ariba, Microsoft Office Suite
  • Demonstrated ability to interact with all levels of the Zoetis organization.
