Job Summary:

Under constant supervision, the Scheduler will adhere to the physician/departmental scheduling protocols to correctly and accurately schedule patients for appointments that best fit the patient's schedule. Must follow strict customer service guidelines and maintain excellent customer service scores. Must work well under pressure and stress and handle high volumes of calls and workload accurately. Must follow APAS training/Health System policies at all times while direct supervision lies with the satellite manager; over responsibility under the administrative director.

Core Responsibilities and Essential Functions:

Compliance with Patient/Family-Centered Care standards through the following: Demonstrates dignity and respect for patient and family for patient and family knowledge, values, beliefs and cultural background in the planning and delivery of care. Provides information sharing, ensuring patients and families receive timely, complete and accurate information in order to effectively participate in care and decision-making. Encourages patient and family participation in care and decision-making. Compliance with Customer Service Standards. Must follow strict customer service guidelines and maintain excellent customer service scores. The Scheduler is responsible for scheduling appointments via phone or from faxes sent from referring physicians as well as patients calling and requesting appointments. Compliance with Scheduling Protocols. Must adhere to the physician/departmental scheduling protocols to accurately schedule patients for appointments that best fit the patient's schedule. Interacts with referral sources and exercises independent judgment in determining appropriate sub-specialty required based on diagnoses, symptoms, and other information provided by referring providers. Compliance with Departmental Service and Compliance (accuracy) expectations. Must follow APAS and Health System policies and procedures at all times, to include compliance in scheduling registration, insurance accuracy, balance collection, and demographic information gathering. The Scheduler is responsible for assuring that all administrative policies and procedures are implemented and followed within the Practice under the direction of the Practice Administrator. Compliance with Attendance policy. Must adhere to employee set schedule with little to no attendance issues. This essential position requires attendance during inclement weather.

Required Minimum Education:

  • High School Diploma General

Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.


    Additional License(s) and Certification(s):

    Required Minimum Experience:

    Minimum 2 years of experience in Medical Office/Health Care or related setting. Required

    Required Minimum Skills:

    Customer Service
    Basic Computer and MS Office
    Calculator
    Keypunch speed of at least 35 wpm
    Working knowledge of information systems, insurance processes, medical terminology
    Experience managing a high volume of callers through a multi-line phone system
