The Senior Associate Director, Database Management is responsible for database management, oversight, and strategy within the Advancement Operations division. This position provides oversight and management of advancement applications, their interconnections and related training and support. The Senior Associate Director, Database Management serves as lead project manager for the gift processing team. The Senior Associate Director, Database Management is required to coordinate all reporting requests and develop reporting strategies and maintain documentation of all advancement reports and analysis. The Senior Associate Director should be capable of managing all aspects of our databases, the import and export of data, data integrity processes, front-end and back-end reporting and be able to determine how to retrieve information from various systems/databases. The Senior Associate Director ensures all systems and interfaces align with industry standards and best practices.
Key Responsibilities:
Manage Advancement Systems: Provide leadership and management for advancement related systems. Serve as project lead and manager on Advancement database conversions, upgrades, maintenance, and business processes. Collaborate on the design and implementation of systems integration and flows between advancement systems and assist in implementing new or improve current systems.
Database Management: Responsible for database management for advancement database and department technology (i.e. iModules (alumni and parent community), web forms, data integration, etc.) including transfer of data from student systems, Admissions systems, NCOA updates, Career Development. Manage and set up security permissions, business rules, staff codes and roles for systems used by the Advancement Division.
Manage Documentation and Communication: Key Liaison to advancement staff for collating and documenting all business processes and workflow related to various advancement databases/systems. Develop and implement procedures to ensure quality data to support advancement division initiatives. Key liaison for documentation and communication of all business rules and processes related to Advancement database and tied to business workflows.
Data Security: Manage PCI compliance for Advancement Division. Responsible to keep up-to-date on PCI changes and make sure procedures are followed so that constituent information is not compromised. Coordinator of Confidentiality agreements for Advancement systems.
Training: Work with Executive Director of Advancement Operations on identifying ongoing staff development needs and training. Responsible for setting up new hires orientation activities related to technology, office space and training. Develop and implement an orientation program for new employees in the Advancement division. Determine areas where additional training is needed. Keep division abreast of changes and new products/software. Provide training to departments outside of Advancement Division on use of Advancement database.
Institutional Reporting/Surveys: Responsible for accurate and timely completions of institutional surveys including but not limited to: VSE/CAE, STAFF and US News & World Report. Responsible for keeping up-to-date with IRS, CASE, NACUBO and FASB regulations pertaining to gifts, pledge and data. Must ensure compliance with industry, federal, state and internal standards as required.
Data analysis and Reporting: Responsible for assisting in creation of and maintenance of reporting for several Advancement departments and Academic departments when requested amongst report writers/developers. Collaborate in the production of financial, analytical, statistical, biographic and demographic reports as well as mailing lists, recognition lists and other data extractions as requested. Respond to requests for data, reporting various information and analysis using appropriate tools.
Gift Processing Procedures: Responsible for managing the gift processing team, requiring an in-depth and detailed knowledge of best practices for gift processing as well as regulations relating to gift processing and fundraising.
New Implementations: Responsible for offering guidance on new systems and implementing new initiatives in support of Advancement's mission.
Special Projects: Work on projects related to advancement systems and all advancement databases, in particular supporting new initiatives and campaign management and reporting from the advancement operations perspective.
Additional responsibilities: Work advancement events and perform other responsibilities as necessary.
Education: Bachelor's degree required or commensurate work experience leading technical teams, managing databases and in a client-focused environment. Knowledge of computer systems and relational databases required. 8-10 plus years of working in an educational environment preferred. Experience:Required documents needed to apply:
